MAIA, Closing date: 20 May 2024

MAIA is looking for a super organised administrative whizz with experience of built environment projects, who is able to hold the threads of multiple strands of activity, keeping things on track and flowing while tending to the details: Architectural Project Co-ordinator (4 days a week, £29,960 pro rata, Birmingham).

PURPOSE: to orchestrate activity and communications across multiple stakeholders, timelines and team members to keep our social infrastructure project, ABUELOS, on track. To support MAIA Directors and Leads with necessary administrative and co-ordination tasks.

TIME: 4 days per week
TERMS: Permanent contract (with 6 month mutual exploration period)
SALARY: £29,960 full time salary pro rata (£1,997 per month before deductions)
BENEFITS: 4 wellbeing days + 3 CPD days per year, 28 days holiday + bank holidays (pro rata), birthdays off, £300 annual wellness budget, additional access budget available
LOCATION: Birmingham or within reasonable commuting distance

WOULD SUIT SOMEONE WHO:

- Holds a degree/HND/HNC or equivalent in an Architectural/Construction based subject, or can demonstrate an equivalent depth of learning through practice;
- Has five years or more experience in built environment roles
- Has experience of working within architectural / spatial projects, including familiarity with pre-construction phases
- Has strong project management skills, with an understanding of project deadlines, milestones and ability to create and manage schedules
- Has excellent administrative and co-ordination skills, with a high degree of IT literacy
- Is comfortable with complexity, able to hold multiple different timelines, schedules and priorities in mind and bring them into a cohesive whole
- Has experience in community engagement through workshop delivery and design engagement
- Is familiar with the different types of technical documents and drawings needed throughout the life of the project
- Is familiar with UK building regulations and planning policies.
- Is a clear and confident communicator, working well within and across teams, able to build relationships with a range of different people including community members, contractors, funders and other stakeholders
- Based in Birmingham or within reasonable commuting distance

AREAS OF WORK

- TIMELINES: Stewarding overall timeline / schedule for ABUELOS and ensuring that other timelines and milestones e.g. fundraising, legal, communications etc are incorporated and kept up to date
- DOCUMENTATION: Gathering and / or preparing necessary documents and resources as required at different stages of the process
- MONITORING: Keeping track of actions, circulating information and making progress, crunch points and emerging needs visible across the MAIA team
- CO-ORDINATION: Co-ordinating with our partners, external contractors, consultants and service providers, scheduling meetings, drafting contracts, agreeing work plans and monitoring schedules
- PROGRAMME: Working with Sites of Imagination Lead to plan, produce and deliver a series of residencies and events that bring together technical expertise with artistic perspectives in order to inform ABUELOS

Core duties (shared by all MAIA team members)

- Attend and contribute to weekly team meetings either in person at YARD or virtually
- Ensure the smooth flow of information around the organisation by replying to messages and emails in a timely manner.
- Participate in regular 1-1 meetings with other team members, including monthly check in with a Director
- Participate in team rotas for covering shared roles.
- Engage in organisational development conversations and activities
- Commit time to **learning** and engaging with MAIA’s programme, inspirations and the development of our thinking
